Overview
We are seeking an energetic and detail-oriented Office Manager to support the smooth operation of our office environment. This vital role combines administrative leadership with team supervision, ensuring that daily activities run efficiently and effectively. This role ensures that administrative, financial, HR, IT, and marketing functions align with the firm’s goals while serving as the primary leadership contact in the COO's absence.
Job Duties/Responsibilities
- Manage day-to-day office procedures, including workflow optimization, facility maintenance, and vendor relationships
- Supervise administrative staff, including front desk personnel and clerical team members, providing training and ongoing development opportunities
- Manage scheduling for meetings, appointments, and office events to optimize team productivity and resource allocation
- Serve as the primary liaison for IT support, ensuring all firm technology and software systems are updated and function efficiently.
- Supervise firm marketing initiatives, including website maintenance, social media presence, and event planning.
- Monitor staff productivity, manage office supplies, and coordinate high-level scheduling for the firm.
- Implement and enforce firm policies and procedures to ensure regulatory and ethical compliance.
- Oversee staff supervision and assist HR Manager
- Act as the first point of contact for the Owner on all operational matters when the COO is unavailable
- Maintain organized filing systems—both physical and digital—and ensure compliance with record-keeping policies
- Manage front desk operations, including multi-line phone systems, visitor check-ins, and phone etiquette to create a welcoming environment
- Assist in planning company events or community outreach activities to promote team engagement
Requirements/Qualifications
- Bachelor's Degree, preferably in management or business
- A minimum of 3 years' experience in a similar role in a law firm
- Microsoft Office
- Experience with Case Management Software
- Ability to travel to all of our office locations
- Excellent schedule management abilities to coordinate multiple priorities seamlessly
- Vendor management experience to build strong professional relationships and negotiate contracts
- An understanding of the legal industry—market opportunities, competition, service offerings and competitive advantage
- Superior organizational skills, attention to detail, and ability to multi-task in a fast-paced environment.
- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
- Ability to work under pressure, meet deadlines with shifting priorities
- Strong customer service skills, able to anticipate needs and exercise independent judgment
- Exercises solid strategic thinking and problem-solving skills
- Demonstrated ability to handle sensitive firm information with the highest level of confidentiality
- Ability to handle multi-line phone systems with professionalism while maintaining excellent phone etiquette
- Familiarity with office equipment such as copiers, fax machines, and calendar management tools
The pay range for this position is $75,000 - $110,000 annually. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs. The actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
Pay: $75,000.00 - $110,000.00 per year
