About Proven
Proven (areyouproven.com) is the verified athlete assessment platform built on a simple belief: every athlete deserves a fair shot. No hype, no pay-to-play — just verified results coaches can trust. Endorsed by the Texas High School Coaches Association (THSCA) and the Texas High School Athletic Directors Association (THSADA), Proven is scaling rapidly across Texas with multi-state expansion on the roadmap.
Position Summary
We're looking for a hands-on Marketing & Operations Coordinator to split their time between marketing execution and keeping the business running smoothly behind the scenes — roughly a 70/30 split that flexes with the week's priorities. On the marketing side, you'll run a focused, sustainable program across social and email — powered by Proven's Growth Engine, our all-in-one platform for planning, designing, and publishing content — and help shape our paid media program as it takes form. On the ops side, you'll own scheduling, invoicing, vendor coordination, and the internal processes that keep everything moving. You'll be the connective tissue between our leadership team, our partners, our vendors, and every audience Proven serves — coaches and athletic directors, parents and student-athletes, and recruiters. This is an execution-heavy role for someone who ships work, closes loops, and knows how to prioritize — not someone who needs a large team around them.
Key Responsibilities
Social Media & Content
- Run Proven's social program end to end through the Growth Engine — our all-in-one tool for planning, designing, and pushing content — going deep on two or three priority platforms (e.g., Instagram and Twitter/X, where coaches and families live) while maintaining a lighter, repurposed-content presence on Facebook, LinkedIn, and TikTok.
- Develop content tailored to each of Proven's personas — coaches & athletic directors, parents & student-athletes, and recruiters — and repurpose each piece across channels rather than creating bespoke content for every platform.
- Incorporate THSCA follow-up into ongoing social execution — engage the coaches and athletic directors we met at the show, keep booth contacts warm through social touchpoints, and make sure every contact is logged and routed in the Growth Engine.
- Maintain the content calendar in the Growth Engine, scheduled at least two weeks ahead on priority channels and produced in efficient batches (including batched shoot days) rather than daily one-off creation.
- Keep every touchpoint consistent with Proven's brand voice and visual identity guidelines.
Paid Media
- Support leadership in shaping Proven's paid media strategy, which is currently in the planning phase — channel mix, persona targeting, and budget priorities across PPC, paid social, display, and print.
- As the program stands up, coordinate creative assets and copy for campaigns and serve as day-to-day contact for any agency or media partners we engage.
- Track spend against budget once campaigns are live and deliver a concise monthly summary with recommendations leadership can act on.
Email & CRM
- Own a consistent newsletter and campaign rhythm — copy, design, list selection, and scheduling — built on repeatable templates rather than from-scratch sends.
- Maintain targeting lists segmented by persona (coaches/ADs, parents/student-athletes, recruiters) and keep the Growth Engine pipeline clean and actionable.
- Report on email performance and run periodic tests to improve open and click rates.
Business Operations & Administration
- Manage leadership and team scheduling — coordinating meetings, travel, and shoot days so nothing collides or falls through.
- Own invoicing workflows: prepare, send, and track invoices; follow up on outstanding payments; and reconcile against vendor and agency billing.
- Coordinate vendors and contractors end to end — quotes, agreements, onboarding, deliverable tracking, and payment logistics.
- Build and maintain internal processes and documentation (SOPs, checklists, shared trackers) so recurring work runs the same way every time.
- Keep shared tools and files organized and current, and flag operational bottlenecks to leadership with proposed fixes — not just problems.
Qualifications
Required
- 2–5 years of marketing and/or operations experience with real execution ownership — not just support work.
- Demonstrated experience managing brand social accounts (Instagram, Twitter/X, Facebook, LinkedIn, or TikTok) — and the judgment to focus effort where the audience actually is. Experience with social management platforms (e.g., Hootsuite, Sprout, Later, or similar) transfers directly to Proven's Growth Engine; we'll train you on our tool.
- Proficiency with design tools such as Canva, Figma, or comparable — able to produce and adapt on-brand graphics without waiting on a designer.
- Strong writing skills; able to match an established brand voice without heavy editing.
- Comfortable managing agency, vendor, and contractor relationships and reading paid media performance data.
- Highly organized with strong attention to detail — comfortable owning calendars, invoices, and process documentation without things slipping.
- Self-directed and able to prioritize across two lanes — thrives with a weekly priority list, not daily oversight.
- Based in or near the Dallas–Fort Worth area with reliable availability for in-person sessions.
Preferred
- Experience with Claude Cowork and Claude Design (or other AI-assisted workflow and creative tools) to accelerate content production, campaign operations, and internal process automation.
- Experience helping launch or scale a paid media program from an early stage.
- Experience with invoicing/bookkeeping tools (e.g., QuickBooks or similar) and vendor management.
- Familiarity with email marketing/CRM platforms and list management.
- Background in sports, athletics, or the coaching community — especially Texas high school athletics.
What Success Looks Like — First 90 Days
- Fully ramped on the Growth Engine, with social cadence live and consistent on priority platforms — content planned, designed, and published through the platform, batched and scheduled two-plus weeks ahead, with a maintenance presence everywhere else.
- THSCA booth contacts are fully worked into social and email execution — every contact logged and routed in the Growth Engine, with coaches and ADs actively engaged through ongoing touchpoints.
- Paid media strategy is documented with leadership — channel mix, persona targeting, and budget priorities — and ready to activate when the program is greenlit.
- Email program has a regular send rhythm on repeatable templates, with clean, segmented lists in the Growth Engine.
- Invoicing and vendor coordination run on a predictable rhythm — nothing outstanding without a follow-up, and core recurring processes documented as SOPs.
