The role
QwikFix turns home inspection reports into real repair quotes for home buyers, their agents, and listing agents. We recently audited the systems behind our customer communications: how email and text are triggered, sent, delivered, and tracked from quote request to approved work order.
Today email, text, and customer data live in separate tools that don't share one record. That makes deliverability hard to verify and a customer's full history hard to see in one place. We're ready to move to a single platform for email, SMS, and CRM.
We're looking for a marketing systems and operations partner (an agency, small team, or solo operator) to own that move end to end: help us pick the platform, migrate everything into it, and keep it running clean after launch. A copywriter is refreshing our emails and texts in parallel, so you'll load new copy as you build.
Scope
- Platform selection: Recommend one system that houses email, SMS, and CRM together. We're considering GoHighLevel, ActiveCampaign, HubSpot, and Keap, and want your input before we commit. We want to avoid technical debt, and the platform should leave room for in-app messaging down the road.
- Migration: Move contacts, message history, and automations out of our current stack (Klaviyo for email, Quo for SMS, connected through Zapier).
- Journey rebuild: Rebuild our automated email and text journeys for three audiences: home buyers, buyer's agents, and listing agents. Both channels should run off the same triggers and the same contact record.
- Segmentation and suppression: Each contact gets the journey that fits who they are and their history with us, such as first-time versus returning customers. No one should ever be in two overlapping journeys.
- Integrations: Work directly with our development team to make sure the right triggers flow into the new system.
- CRM tagging and flagging: Help us create tagging and flagging rules in our CRM so our sales team knows which deals need attention.
- Reporting dashboard: Set up a dashboard so we can track performance across email, SMS, and the sales pipeline.
- QA and alerts: One place to see who was contacted, what sent, and what failed, with alerts when sends break.
- Ongoing data hygiene: Weekly checks on triggers, data, and sends after launch so issues get caught early.
Volume for context: roughly 1,300 people a month receive a repair quote from us.
Project flow
- Discovery: Get to know our business and walk through the systems audit we recently completed, which gives you a baseline to build from. Then dig into our current setup and how a quote moves from request to approved work order.
- Platform decision: Present a recommendation with tradeoffs and cost. We decide together.
- Architecture: Map triggers, journeys, suppression rules, CRM stages, and tagging before building.
- Build and migrate: Stand up the platform, migrate data, and load the new copy journey by journey.
- Test and launch: Test real scenarios for every audience before cutover. Run old and new side by side until sends are verified.
- Maintain: Ongoing monitoring, hygiene, and clean-up on a monthly retainer.
You'll work with our project lead, a go-to-market consultant overseeing both the content
revisions and the system migration, along with the QwikFix team and our copywriter.
You're a good fit if
- You've led at least two full migrations into an all-in-one email, SMS, and CRM platform, and can show the before and after.
- You've built hands-on in at least one of GoHighLevel, ActiveCampaign, HubSpot, or Keap, and can give an honest opinion on the others.
- You know SMS deliverability and compliance (A2P 10DLC, opt-in and opt-out handling).
- You've connected inbound sources via API or webhooks and can debug when data
- doesn't land.
- You think in systems: suppression logic, deduplication, one source of truth per contact.
- You document what you build so our team can understand it after you hand off.
Bonus: experience in real estate, home services, or any business with multiple audiences on one transaction (buyer, agent, vendor).
Budget and timeline
- Budget: $7,000 to $10,000 for the migration, plus an ongoing retainer of about $1,000 a month for hygiene and clean-up.
- Timeline: Ideally 1 to 2 months from kickoff to cutover. Copy revisions are running in parallel now.
