You are the first person our patients see and the last voice they hear and increasingly, the person who helps tell our story online. We're looking for someone polished, dependable, and genuinely warm who can run a front desk smoothly and has a creative eye for content.
Front Desk Responsibilities
- Greet and check in patients; manage the flow of the front desk and waiting area
- Answer phones, respond to texts and online inquiries, and convert leads into booked appointments
- Schedule and confirm appointments; manage cancellations, waitlists, and rebooking
- Collect payments, process transactions, and handle membership and package sales
- Maintain accurate patient records and complete intake paperwork in our EMR
- Keep reception and retail areas clean, stocked, and presentation-ready
- Support retail product sales and treatment education
Social Media Responsibilities
- Assist with in-office content: photo and video of treatments, products, before/after, and behind-the-scenes moments (with proper patient consent)
- Film and edit short-form video for TikTok, Instagram Reels, and Facebook
- Assist with posting consistently to Instagram, TikTok, and Facebook following a content calendar
- Draft captions and select hashtags in our brand voice; physician-led, educational, approachable
- Monitor and respond to DMs and comments, routing clinical questions.
- Track basic engagement metrics and flag what's performing
- Help maintain Google Business Profile and encourage patient reviews
What We're Looking For
- Excellent phone and written communication skills
- 1+ year in a front desk, customer service, hospitality, or medical office role
- Demonstrated social media experience, personal, freelance, or professional
- Working knowledge of Instagram Reels, TikTok, CapCut or Canva, and basic photo/video editing
- Highly organized with strong attention to detail
- Professional appearance and demeanor; discretion with confidential patient information (HIPAA)
- Sales-comfortable, not pushy, but able to confidently recommend treatments and products
- Reliable, punctual, and able to work independently
Nice to Have
- Experience in a med spa, dermatology, plastic surgery, or aesthetics practice
- Familiarity with EMR and scheduling systems
- Graphic design skills (Canva, Adobe)
- Bilingual (Spanish a plus)
Pay: $17.00 - $20.00 per hour
