About WeBuyHousesAnywhere
WeBuyHousesAnywhere is an industry-leading real estate wholesaling company on a mission to redefine speed, efficiency, and reliability in property acquisitions and dispositions. We measure our success not only by the deals we close, but by the operational precision underpinning each step of our pipeline. Think Hormozi-level systems, Coca-Cola brand authority, and unwavering commitment to staying one step ahead of the competition.
At WeBuyHousesAnywhere, data isn’t just an afterthought—it’s the lifeblood of our entire organization. From marketing and acquisitions to dispositions and property management, we make decisions driven by actionable insights. Now, we’re seeking a KPI Automation Specialist who can architect, implement, and maintain an advanced, highly automated analytics infrastructure that will guide our daily decisions and fuel our next phase of exponential growth.
Role Overview
The KPI Automation Specialist plays a pivotal role in designing and optimizing data flows across multiple departments—Acquisitions, Marketing, Transaction Coordination, Rehab Oversight, Dispositions, and Executive Strategy. Your primary mission: eliminate manual processes, create real-time dashboards, and leverage data to empower our teams with instant insights. You will be engineering the heartbeat of the company’s performance metrics.
This is a freelance/contract position with the potential to become a long-term consulting or even a full-time role for the right candidate. You’ll collaborate closely with our CEO, department heads, and tech integrators to build a next-generation data ecosystem that can handle rapid scale, handle large inbound lead volumes, and direct our organization like a finely-tuned machine.
Key Responsibilities
- Strategic KPI Definition & Alignment
- Partner with executive leaders to identify the critical KPIs that reflect the true health of our wholesaling operation (e.g., Cost per Lead, Time to Close, Profit per Deal, Marketing ROI, Conversion Rates by Channel).
- Refine or expand existing KPIs to ensure they stay relevant as our organization grows into new markets and product lines.
- Data Pipeline & Automation Architecture
- Engineer end-to-end data workflows that pull from CRMs (Podio, Salesforce, InvestorFuse), marketing platforms (CallRail, Launch Control, REI-specific texting/calling services), project management tools, and accounting systems.
- Use low-code or custom-coded automations (e.g., Zapier, Make, custom Python scripts, webhooks, API integrations) to eliminate manual data entry and reduce errors.
- Ensure all data streams update in near-real-time for immediate decision-making.
- Real-Time Dashboards & Reporting
- Develop visually engaging, user-friendly dashboards in BI tools (Tableau, Power BI, Google Data Studio, Looker, or equivalent).
- Maintain a centralized analytics hub that includes sales funnels, marketing conversion metrics, rehab timelines, projected vs. actual revenue per deal, and monthly P&L highlights.
- Automate the distribution of daily, weekly, and monthly KPI reports to stakeholders with actionable insights clearly annotated.
- Cross-Departmental Integration & Process Mapping
- Document the full data flow across departments—Acquisitions, Rehab Coordination, Dispositions, and Finance—to reveal bottlenecks or duplicate tasks that can be automated or improved.
- Create detailed SOPs, training materials, and process maps to empower each stakeholder to interpret dashboards and leverage the system for maximum efficiency.
- Advanced Analytics & Predictive Insights
- Deploy predictive models to forecast deal flow, identify high-value leads, or anticipate rehab durations and budgets based on historical data.
- Introduce A/B testing frameworks for marketing channels to measure which campaigns yield the best ROI, optimizing spend across direct mail, text blasts, cold calls, social media, and more.
- Scalability & Performance Optimization
- Continually stress-test the data infrastructure to ensure it scales with increasing lead volume and potential multi-state expansions.
- Evaluate new technologies that could enhance our analytics capabilities, from more robust data warehouses (Snowflake, Redshift) to advanced AI-driven systems.
- Ongoing System Maintenance & Support
- Act as the primary troubleshooter for any data discrepancies, system outages, or automation malfunctions.
- Perform routine audits of data accuracy, ensuring each dashboard and KPI aligns with real-world performance.
- C-Suite Advisory & Thought Leadership
- Provide strategic recommendations to the CEO and executive team on how data can shape broader business decisions—new markets, property types, or partnership opportunities.
- Offer ongoing thought leadership regarding data governance, analytics best practices, and industry trends that keep us at the cutting edge.
Ideal Candidate Profile
- Extensive Real Estate / Wholesaling Experience
- Deep understanding of the wholesaling or fix-and-flip model, acquisitions, dispositions, and the typical pitfalls of managing large lead pipelines.
- Track record of implementing KPI systems specifically in real estate or related industries.
- Technical Expertise in Automation & Data Engineering
- Proven experience creating robust data pipelines with tools like Zapier, Make (Integromat), custom REST APIs, Python scripting, or node-based systems.
- Skilled in cloud-based data storage solutions, BI tool integrations, and either RDBMS or NoSQL environments.
- Familiarity with ETL/ELT processes, data normalization, and advanced data transformations.
- Analytical & Strategic Mindset
- Capable of translating broad business goals into specific KPIs that drive day-to-day and month-to-month performance.
- Understands statistical analyses, data science fundamentals, or predictive modeling to fuel deeper insights.
- Project Management & Communication Skills
- Highly organized and able to manage multiple concurrent automation tasks, coordinate cross-functionally, and meet strict deadlines in a fast-paced environment.
- Exceptional communication skills (both written and verbal), with an ability to simplify complex data concepts for non-technical stakeholders.
- Proactive & Growth-Oriented
- Constantly scans for improvements and has the ambition to push the limits on automation and data intelligence.
- Thrives in an environment where they can take initiative, propose new metrics, and demonstrate leadership in data-driven innovation.
