Job Description Summary:

Plans, coordinates, and manages editorial and publication projects while consulting with staff and serving as the liaison to all parties concerned. Main project manager and point of contact for several divisions and about 50 ongoing projects at different stages of production. Provides editing and Microsoft Word and Adobe Acrobat file preparation/tracking and related support. Ensures publications and products conform to organization’s standards for appearance, style, and content. If in a supervisory role, has full responsibility for the supervision of assigned editorial staff. Oversees all aspects of the assigned area of responsibility.

Working under general supervision, the incumbent applies general professional knowledge to solve problems requiring the identification and analysis of various factors and uses independent judgment and discretion to recommend the best course of action. The incumbent proceeds on own initiative in compliance with policies, procedures, and practices, but receives guidance or expertise from supervisor or higher-level staff when needed. May supervise editorial support employees or serve in a lead capacity.

Responsible for following the publication or product through the stages of publishing by interfacing with staff, in-house compositors and designers, and vendors that provide publication services such as editorial, composition, design, and printing to ensure the final product meets all required specifications.

Job Description:

ESSENTIAL JOB DUTIES:

1. Facilitates coordination meetings. Consults with staff about the progress of publications and other materials. Assists staff in deciding which products and services they need to publish publications or other materials. Participates in staff meetings to discuss and coordinate services with other departments.
2. Monitors the editorial/publishing process, including organizing meetings, gathering and analyzing information, and keeping projects on time and within budget. Monitors and tracks the schedule and budget for projects. Provides advance warning if any deviations are anticipated. Ensures that vendors comply with contract terms and conditions.
3. Communicates with staff regarding manuscript and publication processing policies, procedures, and status. Ensures published materials conform to National Academies’ and unit’s standards and fulfill contractual funding and delivery requirements.
4. Prepares manuscripts for composition; submits cover requests and graphics work; hires freelance proofreaders, copyeditors, and indexers. Reviews and proofreads prepublications, pages, and printer proofs.
5. Develops and maintains production schedules and requests and reviews cost estimates for publications and products.
6. Performs quality checks and facilitates the assignment of publications to appropriate editorial sources.
7. Monitors and updates information in the project management database.
8. Answers routine and non-routine editorial questions. Troubleshoots problems and escalates to manager, as appropriate.
9. May serve as backup to manager in manager’s absence.
10. May lead special editorial and publishing projects and initiatives.
11. If in a supervisory role, provides leadership and mentors staff. Assigns work to editorial assistants. Leads and schedules team meetings. Trains and develops employees to successfully perform current responsibilities and encourages development of staff for future roles. Forms effective teams and cultivates a work environment that fosters teamwork. Interprets and ensures consistent application of organizational policies. Initiates personnel actions, including performance and compensation reviews and disciplinary actions.

JOB SPECIFICATIONS

Required Knowledge, Skills, and Abilities: Ability to solve intellectual problems of appreciable variety and complexity. Ability to operate using latitude for independent judgment and action. Ability to work successfully in a team environment and to form and maintain effective teams. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Excellent communication skills with a proven ability to effectively interact with all levels of employees.

Minimum Education/Training Requirements: Bachelor’s Degree in English, Journalism, Communications, or related field, or equivalent knowledge.

Minimum Experience: Two years of related professional experience, plus one year of supervisory experience if in a supervisory role.

Required Licenses, Certification or Registration: None.

Supervisory Responsibilities/Controls: Reports to Manager/Director. General direction is provided. May supervise assigned staff.

Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $54,240 - $67,790. Compensation offered to the selected candidate will be based on the candidate’s relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.

Work Environment: Hybrid Office/Telecommute environment, expected onsite percentage 40%, with occasional travel between National Academies’ facilities and to off-site meeting/sponsor locations.
