#### Job Overview
We are seeking a highly organized Marketing Coordinator / Project Manager for a 90-day contract to oversee the execution and coordination of various marketing projects. This role is crucial for ensuring that projects are completed on time, within budget, and meet our high standards for quality and customer satisfaction. You will collaborate directly with the CMO, participate in several Zoom meetings each week, and be expected to deliver results weekly.
#### Key Responsibilities
- **Project Management**: Oversee inherited marketing projects from initiation to completion, including planning, execution, and evaluation. Set up projects within the project management software
- **Timeline Coordination**: Develop and maintain detailed project timelines, ensuring deadlines and resources are allocated effectively. Provide leadership through GANTT charts with outlined dependencies
- **Cross-Functional Collaboration**: Collaborate with internal teams, including marketing, sales, and customer service, to ensure project alignment and coordination across departments
- **Campaign Execution**: Assist in implementing and monitoring marketing campaigns, including digital advertising, email marketing, and content distribution
- **Vendor Management**: Coordinate with external vendors, printers, and agencies, managing relationships and ensuring deliverables are met as agreed
- **Resource Management**: Effectively manage project resources, including budgets and personnel, to achieve project goals
- **Quality Assurance**: Review and ensure the quality of all marketing materials and deliverables, maintaining consistency with brand guidelines
- **Reporting**: Provide regular status updates and project reports to stakeholders, highlighting progress, risks, and recommendations
- **Problem-Solving**: Identify and address issues or challenges that arise during project execution, implementing solutions to keep projects on track
- **Documentation**: Maintain comprehensive project documentation, including plans, schedules, and post-project evaluations
#### Qualifications
- Proven experience as a Marketing Coordinator, Project Manager, or in a similar role, with a strong background in managing marketing projects
- Familiarity with marketing concepts, digital marketing tools, and project management software (e.g., Asana, Monday, Trello)
- Excellent organizational skills with the ability to manage multiple projects and prioritize tasks effectively
- Strong communication skills and the ability to collaborate with diverse teams and stakeholders
- Ability to work independently and manage projects in a remote setting
#### Preferred Qualifications
- Experience in a marketing coordinator role with project management responsibilities
- Understanding of HubSpot and marketing automation tools
- Strong problem-solving skills and meticulous attention to detail
- Experience in the orthodontics or healthcare industry is a plus
