Position Summary: The Freelance Grant and Proposal Writer will be responsible for developing, writing, and submitting high-quality grant proposals, project bids, and other responses to solicitations. This role will involve cross-collaboration with our consulting, business development, and program teams to gather necessary information and align proposals with our strategic goals.
Key Responsibilities:
Proposal Development and Writing:
- Write, edit, and submit compelling grant proposals, letters of intent, and other funding applications to secure financial support for Mosaic Group initiatives.
- Develop and articulate clear, concise, and compelling narratives that align with Mosaic Group’s mission, vision, and goals.
- Write and edit proposals, bids, and other documents in response to requests for proposals (RFPs), requests for information (RFIs), and other solicitations by federal, state or local agencies (Issuers) or their prime contractors.
- Develop compelling value propositions and tailored solutions that address Issuer needs and differentiate our offerings from competitors.
- Ensure proposals are compliant with Issuer’s requirements and guidelines.
- Collaborate with internal teams as needed to gather information, data, and support materials required for proposals.
- Manage proposal timelines and deadlines to ensure timely submission of high-quality proposals.
Budget Preparation:
- Work closely with our finance team to develop project budgets that align with grant and bid requirements.
- Ensure budget narratives are accurate, detailed, and support the overall proposal.
Stakeholder Engagement:
- Communicate with potential funders and Issuers to clarify requirements and understand priorities.
- Collaborate with internal teams to ensure alignment between proposals and Mosaic Group’s strategic direction and capacity.
Post-Award Management and Reporting:
- Assist in post-award management, including monitoring project progress, preparing required reports, and ensuring compliance with funding or Issuer requirements.
- Track and document all submissions, outcomes, and relevant communications with funders and Issuers.
Continuous Improvement:
- Analyze feedback on proposals to improve future submissions.
- Continuously monitor industry trends, best practices, and competitor activities to enhance proposal development processes and strategies.
Business Support and Cross-Collaboration
- Help create compelling and visually engaging presentations to support our business development initiatives.
- Coordinate with graphic designers and other team members to create visually appealing and professional-looking proposals.
- Review and provide feedback on proposals drafted by other team members.
- Maintain a library of reusable content, including boilerplate language and proposal templates.
Qualifications:
- Education: Bachelor’s degree in English, Communications, Marketing, Business, or a related field is required; additional degree or experience in Public Health, Social Services, or a related field is preferred.
- Experience: At least 3-5 years of experience in grant writing, proposal development, and securing funding from a variety of sources. Experience with federal and state public agency grant submissions as well as philanthropic grant proposals. Prefer experience responding to federal bid requests, especially in the small business market. Experience in the public health or human services sector is preferred.
- Track Record: Proven experience in securing grants or contracts and writing successful proposals.

- Strong project management skills, with the ability to prioritize tasks and manage multiple deadlines simultaneously.
- Excellent attention to detail and accuracy, with a commitment to producing high-quality work.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office suite and experience with proposal management software is a plus.
- Knowledge of industry-specific terminology and best practices related to proposal development is preferred.
- Strong interpersonal and communication skills, with the ability to effectively interact with team members and clients at all levels.
- Strong research abilities to identify funding opportunities and understand funder priorities.
- Ability to manage multiple projects and deadlines simultaneously.
- Familiarity with grant management software or CRM systems is a plus.
